AuditArch is a 5-minute morning email. It reads your Open Dental data (read-only) and lists the claims, payments, write-offs and patient balances that need a second look. It also warns you before a vendor contract auto-renews, so you don't find out months later.
Hi, I'm Archy, AuditArch's resident auditor. Every morning before you open, I go through yesterday's numbers and tell you what slipped, the most important things first. In our sample office this morning, I found 43 things worth a look, including a contract cancellation deadline 16 days out. (Sample data from a fake demo database, not a real practice.)
The most urgent items come first, in a short "Do these first" list at the top of the email. Everything else follows, and anything with nothing to report collapses to one "all clear" line.
Claims sitting unsent, waiting or on hold for 2+ days.
Insurance payments keyed onto claims but never attached to a check, plus batch payments left partial.
Completed procedures for insured patients that never made it onto a claim.
Big adjustments, adjustments by someone who rarely makes them, backdated entries, and write-offs above estimate.
Enter your phone, software and IT contracts once. Get warned 90, 60 and 30 days before each cancellation notice deadline, not just the renewal date, with the cost of another term and a ready-to-edit non-renewal letter.
Claims and pre-auths sent 30+ days ago with no response and no follow-up note.
Family balances over $100 and 60+ days old with no recent statement, payment, staff call or note, and no active payment plan. Listed by patient number, with a total.
How much 90+ day A/R changed since yesterday, and which accounts just crossed 90 days.
One email from Archy, before the office opens. Every item comes with the Open Dental report to open, so whoever's on it can fix it in minutes.
The example on the right uses made-up sample data from a fake demo database. The numbers, patients, claims and vendor contracts aren't real. Open the sample email
Yes, and AuditArch points you to them. The trouble is that someone has to remember to run half a dozen reports every day and notice what changed. AuditArch does that for you and only emails what needs attention.
No. It connects with a SELECT-only database user and runs in read-only mode.
Only Open Dental for now. If you use something else, tell us on the form.
The email contains patient and claim numbers only. We'll sign a Business Associate Agreement with each practice before connecting to real data.
From you. You list each vendor contract once (start date, term, auto-renew, notice period, monthly cost, where to send a cancellation) in a simple file or a small form on your own computer. AuditArch does the date math and drafts the letter. You decide whether to send it. It's a draft, not legal advice.
By default: a family balance of $100+ that's 60+ days old where, in the last 30 days, no statement went out, no payment came in, no staff member logged a call or note, and there's no active payment plan. Automated appointment reminders don't count as working it. You can change every number.
Archy the Auditor is the friendly voice of the AuditArch email, the one who tells you "I found 4 things this morning." The product is AuditArch. Archy is just its mascot and isn't related to the Archy practice-management software.
No. Setup takes one read-only database login and a recipient email.
